Smart Card Request and Fulfilment Policy

How MYDGID handles QR and NFC smart-card requests, quotations, artwork approval, production, delivery, activation, defects and replacement.

1. Scope of this Policy

This policy applies to physical QR and NFC smart cards requested through MYDGID. A smart card is an optional access point linked to a MYDGID digital identity; it is not a replacement for the account or public profile.

2. Catalogue Request is Not a Paid Order

Submitting a card request records your preferred format and contact details. It does not by itself create a charge or guarantee production. Before any paid order is accepted, MYDGID confirms:

  • card material, QR or NFC format and quantity;
  • customization and artwork requirements;
  • final price, applicable GST and delivery scope;
  • estimated production and delivery timing; and
  • the payment method and order reference.
3. Artwork Proof and Customer Approval

MYDGID may provide a versioned digital proof before manufacturing. The customer must review names, titles, contact details, spelling, colours, QR destination and other visible information. Manufacturing readiness is recorded only after the final proof is approved.

Changes requested after approval may require a revised quotation, additional production time or a replacement order.

4. Payment and Manufacturing

No production charge is taken from the catalogue request screen. If payment is required, production starts only after the quoted commercial terms, proof approval and payment status are confirmed. Digital subscription charges and physical-card charges are tracked separately.

5. Delivery and Fulfilment

Production and delivery estimates begin after commercial confirmation and proof approval. Timelines may vary by material availability, customization, destination, vendor or courier conditions. A dispatch or tracking reference is shared when one is available. Delivery dates are estimates unless MYDGID explicitly confirms otherwise in writing.

6. Quality Check, Damage and Defects

MYDGID records quality-control and fulfilment status before dispatch where applicable. If a card arrives damaged, contains a manufacturing defect or does not match the approved proof, contact support@mydgid.com promptly with the order reference and clear photographs. We will verify the issue and confirm the available correction, replacement or refund review.

7. Activation, Pause and Lost Cards

Supported cards are activated against the intended MYDGID account using the issued activation process. After activation, the account holder can manage the linked destination and supported card status. If a card is lost, mark it lost or pause it from the dashboard as soon as possible. A paused or lost card may stop resolving to the public destination while the account remains intact.

8. Cancellation, Replacement and Refund Review
  • An unconfirmed catalogue request may be withdrawn without a production charge.
  • Cancellation after proof approval, payment or manufacturing start depends on the verified order stage and costs already incurred.
  • Lost, damaged-by-use or customer-change replacements may be chargeable; the amount is confirmed before production.
  • Duplicate charges, verified defects and failed fulfilment are reviewed under the Refund Policy.
9. Support and Records

For request, proof, payment, delivery, activation or replacement questions, contact support@mydgid.com with your registered email and request or order reference. MYDGID retains the records needed to manage the request, fulfilment, support and legal obligations according to its Privacy Policy.
